Construction and installation work means we enter homes and workplaces, see how buildings are laid out, and sometimes hold keys and access codes. FIRE WALL LLC ("Fire Wall", "we") takes that trust seriously. This policy sets out how we handle personal data under the Law of Ukraine "On Personal Data Protection" and, for clients from the EU, the GDPR.

2. Data we collect

• Client details: name, phone, email, and for companies, the contact person's position.
• Property data: address of the building, ownership or authorisation to carry out works, floor plans, photographs of existing systems taken during the survey.
• Access data: keys, gate or alarm codes and access schedules you provide for the duration of the works.
• Project records: estimates, contracts, work logs, test protocols, as-built drawings and warranty records.
• Site safety data: names of people present on site during works, where required for safety briefings and permits.
• Supply data: delivery addresses and contacts for equipment orders.

3. Purposes

• Surveying, estimating, performing and warranting construction and installation works.
• Obtaining permits and connecting to utility networks, which requires submitting data to utility companies and authorities.
• Meeting occupational safety requirements on construction sites.
• Providing maintenance under service contracts.
• Delivering equipment and processing manufacturer warranty claims.
• Accounting and tax compliance.

We rely on contract performance, legal obligations and our legitimate interest in safe, documented work.

4. Keys, codes and photographs

Access codes are recorded only in the project file, never in messages or on paper left on site, and are deleted when the works are handed over. Keys are logged on receipt and on return. Photographs of your premises are taken only of technical systems, stored in the project file, and are never published or used in our portfolio without your written permission.

5. Who receives data

Subcontractors working on your project (address, schedule and site contact only); utility companies and state inspection bodies when permits or connections are required; equipment manufacturers for warranty claims; carriers for deliveries; our accountant and bank. We do not sell personal data.

6. Retention

• Project documentation and as-built drawings: for the warranty period plus 5 years, as they may be needed for later repairs or safety investigations.
• Access codes: deleted on handover.
• Estimates that did not lead to a contract: 12 months.
• Accounting records: as required by Ukrainian law.

7. Security

Project files are stored in a system with individual staff accounts. Site managers carry only the documents needed for their current project.

8. Your rights

You can request access to your data, correction, deletion (where no legal retention applies), restriction, and a copy in a portable format; object to processing; and withdraw consent. Requests are answered within 30 days. You may complain to the Ukrainian Parliament Commissioner for Human Rights or, in the EU, your national data protection authority.

9. Website and cookies

This website does not use tracking or advertising cookies. Contact form messages are used only to answer your request.

Updates will be published here with a new effective date.
